PRINCIPAL FUNCTIONS
Reporting to the Team Lead, Staff Administration and in accordance with the OPCW Core Values of Integrity, Professionalism and Respect for Diversity/Gender Equality, the Senior Staff Administration Assistant performs the following duties;
RESPONSIBILITIES
Working under the supervision of the Team Lead, Staff Administration the post holder will be responsible for the following:
1. Inducts new staff members by providing information and advice on related entitlements and allowances, calculating settling-in-grant and processing requests for salary advances; ensures that the Secrecy Agreement and Oath and Declaration are signed; assists new staff members in the accurate completion of UBW;
2. Processes all entitlements and benefits related actions in terms of coming on board; additional request submitted during the employment period and upon separation of staff members in accordance with the OPCW Staff Regulations and Interim Staff Rules;
3. Prepares letters of appointment; certification of employment; general correspondence for signature of supervisors for contract types FTA, STA, SSA;
4. Monitors and updates databases to ensure validity, accuracy and timeliness of information ie UBW;
5. Prepares and maintains electronic personnel files ensuring that all the documentation to prove eligibility and status as well as relevant supporting documents are on UBW;
6. Focal point for all queries regarding staff entitlements; researches and drafts decisions for signature by Team Lead, Staff Administration;
7. Interacts with other sections and staff within the HRB to ensure a high quality seamless HR service to all stakeholders;
8. Performs other duties as required.
RECRUITING PROFILE
Education (Qualifications):
Essential: High School Diploma or equivalent diploma of higher secondary education.
Desirable: Additional training/courses from a recognized educational institution in the area of personnel administration.
Experience:
Essential: Four years of progressively responsible, related experience, preferably in the area of human resources.
Desirable: Previous work experience within an international organisation is highly desirable. Experience in the area of UN entitlements and benefits highly desirable.
Skills and Abilities (key competencies):
- Knowledge of UN Common System is an asset;
- Significant skills in using modern personal computer equipment and knowledge of Windows-based word processing and database or spreadsheet programmes is essential;
- Ability to plan, organise and manage conflicting priorities;
- Good interpersonal skills and ability to establish and maintain effective working relations with people in a multi-cultural environment;
- Strong analytical and problem-solving skills;
- Tact, accuracy and discretion;
- Good communication (spoken and written) skills.
Language Requirements:
Fluency in English is essential and a good working knowledge of one of the other official languages (Arabic, Chinese, French, Russian, and Spanish) is desirable.
